Regardless of whether your meeting is an intimate board meeting or a multi-day convention, what you want and expect as your end result is the same....a successful and well received event. The key to a successful event is dependent upon the seamless execution of the details...your details!
With our experience, you will yield a better site selection along with a better contract, all the while insuring the needs of your event are considered.
First we LISTEN to understand the who, the what, the why, and the where of the meeting logistics as well as determine what is most important such as location, the size, the amenities or the associated costs. With these answers we can develop a comprehensive RFP, then we go into investigative mode to find the venues that will best suit your needs.
We will reveiw the top choices together and come to a conclusion on what venue will provide you with the best overall experience. If a site inspection is required we can either do that together or we will be happy to do it on your behalf. This is highly recommended at venues that we have not held events in before. Things change and a venues collateral may not be current, therefore misrepresenting the true condition of the property.
Once the venue is selected we will negotiate a contract that is fair and in the best interest of you and your organization. There are so many things to consider such as rate, attrition, cancellation, force majeure, food and beverage minimums, renovations, etc, etc, etc.
AND THE BEST PART....These services are usually FREE to you, as it is standard practice for most hotels to pay a referral fee on guest rooms.
